What information we collect
When you register to use our Website and Platform, we collect personal information (also referred to as personally identifiable information or “PII”) which may include your name, address, online contact information such as your email address or username, and other personal information which you choose to provide as part of contractual relationship with our organization. Other than cookies and IP addresses, any other PII is collected only if one of (1) you provide such information, (2) you provide consent to collect such information or (3) you register for use of our Platform and allow us access to your corporate systems for the purposes of data collection. The information so collected will be stored on our servers. If you register to use our Platform, the collected information is used to provide you business services, including software for your sales and customer facing teams, as part of the Workorb products. When you register to use our Platform we may also collect certain PII including email ids, names, phone numbers, social media profiles, physical address, along with any information which may be included in your CRM and/or sales conversations. This collected data is used to provide Workorb services, including insights in your customer and prospect relationships, to you.

If you are supplier or vendor to us, we may also collect certain PII including email ids, phone numbers, physical address, and other information depending on the nature of the business relationship, which is used for vendor relationship and enabling the services rendered.

Information you provide via user feedback or support channels

When a user sends us specific feedback through the product, we collect their name and work email address in order to be able to contact them for any necessary follow ups.‍

Device and connection information

We collect anonymized aggregated information about the computer operating system and browser type. We collect approximate locations across all users.

How we use the information we collect

We use the information that you provide to:

    Personalize your experience in using our Platform;
    Provide you with information, products, or services requested from us;
    Present our Website and Platform and their contents to you;
    Provide you with notices about account and/or subscription, including expiration and renewal notices;
    Carry out obligations and enforce rights arising from contracts entered into between you and us, including billing and collection;

    Our product team uses the information to track the usage of the different features in the product and prioritize future development.

​The members of our product team will have access to the anonymized metrics above. Specific Workorb team members who are corresponding with a user after receiving user feedback will have access to name and email so they can follow up appropriately.‍

We do not sell any information to third parties. We share information with certain third parties (LogRocket Inc.) that help us operate and improve our service (please review the Storage and security section below).

Email usage within the product

Workorb’s unified search product only shows search results that a user has access to as per the set configurations. Each user authenticates via SSO and Workorb maintains all permission access based on an email address. Workorb will only use emails in order to enforce permissions on documents presented to users.

How we store and secure the information we collect

Storage and security

We store the usage data inside of an encrypted database, inaccessible from the internet.

Additionally, we use third-party analytics services (LogRocket Inc. and Google Analytics) to store certain non-sensitive usage metrics. In LogRocket, that information is associated with the name and email of the users. Google Analytics stores information in an anonymous form.

The usage data is kept for 12 months.

We maintain a list of all data breach or potential data breach, and investigate all reports. You can report incident or potential incident to us by using contact us details listed below. We follow the guidelines of the Ontario Information Privacy Commission's guidelines, and conduct notifications  in event of a breach to data subjects and government authorities within 72 hours or as outlined in such guidelines.
